Entertainment and recreation businesses live and die by capacity utilisation. A venue at 65% occupancy can be highly profitable. The same venue at 40% loses money every single month. Before committing to a lease on a large space, you need a plan that proves the numbers actually work.

This sample plan shows how an entertainment or recreation business structures its revenue model, manages peak and off-peak seasons, and builds the group bookings and memberships that smooth out week-to-week swings.

Executive Summary

Belle Epoque will be a restaurant and exciting dinner show located in Indianapolis, Indiana, that celebrates the era of cultural refinement, social elegance, and general prosperity in the last decades of the 19th and first decade of the 20th centuries. The exuberance of the “Gay 90s” era will be rekindled as we model our restaurant on the establishments of the Montmartre district of Paris such as the famous Moulin de la Galette. The decor will be similar to that of the restaurants, dance halls and theatres of the 1890s, and feature artwork of the Impressionists such as Pierre-Auguste Renoir, Henri de Toulouse-Lautrec, Mary Cassatt, and Berthe Morisot. Hosting and serving staff will dress in period costume. The combination of a Montmartre dance hall, bon vivants, famous artists and lively music is why our restaurant is so dynamic. The most exciting aspect of this concept is the live show of music and dance that accompanies every evening meal.

Market & Customer Analysis

Industry context

Dinner theaters sell a complete evening, a meal and a live show together, rather than a dinner or a ticket alone. They compete with restaurants and theaters for special-occasion and night-out spending, and everything depends on filling seats on show nights.

Restaurants judge themselves on prime cost, the total of direct costs and wages. In Belle Epoque's year one, direct costs of $507,600 plus wages of $568,000 come to $1,075,600, or 78% of $1,372,000 revenue. A common rule of thumb for restaurants is to keep prime cost to around 60–65%, so this plan is well above it. The reason is in the staffing table: six performers and musicians sit on the payroll alongside the kitchen and front-of-house team, a cost a normal restaurant does not carry. By year three, prime cost falls to 74% of $1,641,000.

The plan does not break even in year one. Monthly break-even revenue of $118,100 comes to $1,417,200 a year, $45,200 more than year-one revenue, which leaves a net loss of $28,600. The plan's own goal is to keep that first-year loss small. Year two's $1,528,000 clears break-even by $110,800, or 7%, and net profit reaches $83,500 by year three.

Group bookings, private parties and corporate nights are what fill the room, and each table booked in advance makes the show-night forecast easier to trust.
